A-OK (www.a-okcollective.com) is female owned and operated creative and experiential marketing agency. We work with clients such as Spotify, Warner Brothers Pictures, Puma, Levi's and many more. Our office is in Chinatown DTLA in a complex with Apotheke, Majordomo, and other creative professionals. The atmosphere is relaxed and on Fridays, we work from home. Two weeks vacation + year-end break depending on our production schedules.

This high-level administrative support role will report directly to the President/Owner and work with the executive team to coordinate schedules, manage calendars, book travel, new business meetings and manage our office needs, etc.

Executive Assistant Duties

A-OK Collective is seeking a new member of the creative team with strong technical skills. We want someone excited to step up to be an integral part of a small team. We’re looking for someone who can work seamlessly with collaborators and who understands and contributes to current youth culture. Responsibilities may include

  • Direct emails and calls to appropriate parties 
  • Record, type and distribute meeting minutes
  • Greet visitors and determine whether they should be given access to specific individuals
  • Perform general office duties such as ordering supplies and maintaining records for accounting
  • File and retrieve corporate documents, records and reports
  • Open, sort and distribute incoming correspondence, including calls and email
  • Set meetings with clients/new business for executive team and travel arrangements as needed
  • Set approximately up to 60 mtgs/calls/lunches/dinners/reservations/appts per week 
  • Daily recaps and updates on week/daily agenda and reminders to execs
  • Take notes on calls/meetings
  • Track and report expenses for office and execs
  • Light personal assistant duties to President
  • Company Culture assistance

    • Team events & activities
    • Holiday parties 


Office Manager Duties

  • Maintains office services by organizing office operations and procedures for tenants; ordering office supplies; kitchen supplies, snacks, beverages, etc; reviewing and approving supply requisitions
  • Maintains office efficiency by planning and implementing office systems including management of cleaning and maintenance and other facilities management
  • Efficient reporting practices for President and Director of Finance
